Primary Function:
The Team Manager for Part-Time Outpatient Clinicians will provide direct oversight, administrative coordination, and performance support to part-time clinicians within the outpatient department. This role ensures part-time providers have a designated point of contact for guidance, process updates, and accountability related to documentation, caseload management, and clinical engagement.
This is a standalone leadership role overseeing a team of part-time clinicians and reporting directly to the Director of Outpatient Psychotherapy Services. The position focuses on maintaining operational consistency, supporting clinician success, and fostering connection between part-time staff and PMHW’s culture.
As healers, therapists offer a range of services that support the mental and emotional well-being of individuals, families, and communities. They promote and facilitate the attainment of optimal mental health through prevention, treatment, and maintenance services.
Therapists work collaboratively with patients, their families, and other healthcare providers, recognizing that all voices are important and deserve to be heard. They provide culturally sensitive and responsive care, acknowledging the impact of historical trauma and colonization on the mental health of communities and individuals.
In their work, therapists may offer therapy services, both individual and group, that center the experiences and knowledge of patients. They prioritize the empowerment and agency of patients, recognizing their unique identities and strengths, and support them in developing and using their own coping skills and strategies.
Therapists also offer ongoing maintenance services that support the sustainability of mental and emotional well-being. They recognize the importance of long-term care and work with patients to identify and address any obstacles to maintaining their mental health.
Overall, therapists approach their work with humility, respect, and a commitment to decolonizing and liberating mental health care. They prioritize the well-being and self-determination of patients, their families, and their communities, recognizing their intrinsic value and inherent dignity.
Essential Functions:
- Performance & Compliance
- Monitor documentation completion, timeliness, and compliance with PMHW standards.
- Support clinicians in meeting encounter and quality expectations.
- Identify performance trends and communicate needs or concerns directly to the Department Director.
- Ensure licensed part-time providers receive 1 supervision hour per quarter (prorated for part-time schedules)
- Staff Support & Communication
- Serve as the primary point of contact for part-time clinicians regarding workflows, expectations, and department communications.
- Ensure part-time staff receive timely updates, guidance, and recognition.
- Support onboarding and integration of new part-time clinicians into the department.
- Operational Coordination
- Partner with administrative staff to ensure schedules are appropriately filled and aligned with each clinician’s availability and preferences.
- Maintain awareness of caseload distribution and assist with problem-solving barriers to productivity or engagement.
- Contribute to updates or feedback regarding department processes impacting part-time clinicians.
- Quality & Growth
- Encourage clinical excellence through check-ins, feedback, and support.
- Participate in quality improvement discussions related to part-time staffing.
- Help identify training or resource needs to strengthen the effectiveness of part-time clinicians.
- Clinical Encounter Expectations: The Part-Time Team Manager is required to complete between 184-262 qualifying encounters (dependent on the size of the team which they are overseeing) in a 13 week calendar quarter, which is equivalent to 14-20 encounters per week. The Part-Time Team Manager can always choose to complete more encounters than expected. While initially building their caseload, the Part-Time Team Manager is expected to undertake 2 new patient intakes per workday, or up to 8 intakes per workweek.
Minimum Qualifications:
- A doctoral degree in Clinical Psychology or Counseling Psychology from an APA accredited university, OR a masters degree in psychology, counseling, or related field
- Current and unrestricted license required through appropriate state board

- Follow policies and procedures to contribute to the administrative efficiency of the practice, taking initiative to suggest and develop those that may be needed
- Ability to work with Mac OS & Google Workspace
Equipment Operated: Standard office equipment, including computers, copiers, printers, telephones, etc.
Work Environment: When working from a PMHW office, the position is in a well-lit office environment. Varied activities including sitting, standing, walking, reaching, bending, and lifting.
Mental and Physical Requirements: Involves sitting approximately 90 percent of the day, walking or standing the remainder. Ability to tolerate mental and emotional distress as an anticipated aspect of the position. May require working under stressful conditions.
